1.0 PURPOSE:

To establish a policy assigning responsibility for telephone/voice services, moves, adds, or changes to existing services including additions to the system.

2.0 ORGANIZATIONS AFFECTED:

All departments and divisions

4.0 POLICY:

4.1    The City’s telecommunications system is a vital part of the mechanism for serving the citizens of the City of Renton and an important tool for employees in the conduct of City business.

4.2    The City’s dial tone provider will not accept requests from City staff for any modifications or changes to service with the exception of those specific Information Services staff authorized on the account for such work orders.

5.0 DEFINITIONS:

6.0 PROCEDURE:

6.1    Department heads or their designee will make every effort to analyze thoroughly all communication requirements to assure that requested changes are genuinely needed and to avoid repeated subsequent requests for changes to the same area.

6.2    Once it is determined a change is needed in telephone service, the service request should be emailed to the Information Services (IS) Service Desk indicating the changes needed, required delivery date, numbers and staff involved, and the reason for the change.

6.3    The IS Service Desk will contact the requesting party to confirm the work order request and the appropriate IS staff responsible for completion of the work.

6.4    If the work order cannot be resolved by the IS staff, a vendor will be engaged.

6.5    Normal move, adds, repair will be paid for from the IS budget, as funds permit.
