2.52.010 Period of retention.

A. City records shall be retained in accordance with the schedules prepared by the state archivist and adopted by the state in Chapter 166, Division 200 of the Oregon Administrative Rules, as they now or hereafter exist.

B. City records, of a nature which are not set forth in the schedules referred to in subsection (A) of this section, shall be retained for a period of time consistent with the intent of the retention schedules of a similar nature. (Ord. 2022-39 § 1; Ord. 78-45 § 1)

2.52.020 Destruction – Procedure.

Whenever any officer of the city has accumulated records that have been retained beyond the period of time recommended above, the officer shall describe and list them on a form entitled “Certificate of Records Authorized to Be Destroyed.” This certificate shall include the signed approval of the city manager, city recorder, and the city attorney, after which the records described thereon may be destroyed. The original of this certificate must be filed permanently in the city recorder’s office and a copy retained permanently by the department using same. The form of the “Certificate of Records Authorized to Be Destroyed” shall be approved by resolution of city council. (Ord. 2019-35 § 1; Ord. 78-45 § 2)
